Head of Operations

Head of Operations role at Whippy, a bootstrapped, profitable communication, automation, and AI agent platform. The role owns all operations not related to selling, building product, or serving customers, and builds the team that runs it. The position is remote, open to candidates in Latin America or the United States, with US Eastern hours required. The hiring process includes an application review, a 45-minute call with the CEO, a take-home assignment with a 45-minute presentation, a 30-minute call with the CTO, and references.

Responsibilities

Revenue operations: billing, collections, and payments across Stripe and HubSpot, quote to cash, sales operations for AEs, account changes reflected in every system; Contracts and vendors: contracts on company templates (order forms, MSAs, NDAs, partner agreements), vendor and SaaS management, renewals, usage audits, seat counts and cost; Partner administration: rev share calculation and payment for ATS partners, partner records and pipeline in HubSpot, co-marketing logistics; People and recruiting operations: recruiting process for open roles except final interviews, offers, Deel, onboarding and offboarding, PTO and expense policies, hiring and managing the Operations Associate; Systems, process, and compliance: documentation of processes, security and data packet for enterprise vendor reviews, SOC 2 readiness, access control and offboarding security

Requirements

Built an operations function from scratch; Managed people and built a process that others then ran without them; Handled a significant situation with an external party (partner, vendor, or customer); Willing to be hands-on for the first six months; Organized, clear in writing, and comfortable being direct with a founder; Fluent written and spoken English; Able to work US Eastern hours; Experience at a SaaS company, ideally one selling to operators
