Operations Officer

Under general direction of the Operations Team Leader, the overall purpose of this position is to work proactively as a member of the operations team in providing a customer focused service responsible for: Performing operational functions effectively and efficiently, and in accordance with World Courier Global and Japanese policies and procedures and regulatory requirements, which includes: Preparing and executing customer shipments for air export and import, utilising the company's shipment processing systems and completing regulatory clearances; Monitoring shipments in transit, initiating effective action as necessary to rectify issues; Linking with the airlines and WC brokers as required. Shipments airlines booking; Controlling our Air freight levels. Training other team members in Customer Service and Dispatch on the requirements necessary for import and export procedures. Assisting with answering telephone calls as necessary. Actively supporting other functional areas of the business as required. Any other duties as directed by the Operations Supervisor or Operations Manager. Ensure that shifts -including week end shifts when applicable – are established in agreement with the Operations Team lead / Operations manager.

Responsibilities

Performing operational functions effectively and efficiently in accordance with World Courier Global and Japanese policies and procedures and regulatory requirements; Preparing and executing customer shipments for air export and import, utilising the company's shipment processing systems and completing regulatory clearances; Monitoring shipments in transit, initiating effective action as necessary to rectify issues; Linking with the airlines and WC brokers as required; Shipments airlines booking; Controlling air freight levels; Training other team members in Customer Service and Dispatch on requirements for import and export procedures; Assisting with answering telephone calls as necessary; Actively supporting other functional areas of the business as required; Any other duties as directed by the Operations Supervisor or Operations Manager; Ensuring shifts, including weekend shifts, are established in agreement with the Operations Team lead / Operations manager; Utilizing appropriate company shipment and export processing systems, updating and finalizing jobs; Checking customer export documents and attaching to job; Completing international carrier's Master airway bill and associated documents; Completing company's Declaration of Security; Completing and transmitting Master airway bill and House Airway Bill information to carrier; Posting flight shipments; Ensuring shipments comply with security and regulatory requirements; Confirming shipments are packed, labelled and marked correctly; Monitoring operations email and managing communication; Notifying consignees of pending shipments; Organising shipment collections liaising with customers and domestic agents; Complying with company Code of Conduct, policies, security requirements and health & safety system; Ensuring compliance with Work Health & Safety legislation; Actively promoting a culture that follows Cencora Values

Requirements

Significant customer service and/or operations experience; Strong international & domestic geographic knowledge; An understanding of Imports and Exports processes and statutory requirements; Sound experience using the Microsoft Office Suite, including Word, Excel and Outlook; Experience negotiating timelines and pricing with a range of stakeholders; Strong interpersonal and communication skills; Sound level of numeracy and demonstrated attention to detail; Strong time management and organizational skills; Sound written and verbal communication skills; Problem solving skills; Demonstrated ability to work flexibly within tight time schedules and in accordance with variable workload demands; A calm and customer focused approach; Ability to use initiative
