Project Coordinator-HVAC Commercial Manufacturing

The HVAC Project Coordinator is responsible for supporting the planning, coordination, and execution of large, multi-function HVAC projects to ensure timely, on-budget project delivery. This role coordinates technical activities, schedules, documentation, communication, and project details to ensure work is completed in alignment with business goals, customer requirements, and project objectives. The HVAC Project Coordinator serves as a key point of contact for project communication and is accountable for helping ensure project milestones, deliverables, and completion requirements are met accurately and efficiently.

Responsibilities

Read, review, and interpret mechanical plans, specifications, drawings, and related project documents to support accurate project coordination and execution; Coordinate technical project activities to help ensure projects are completed on time, within budget, and in accordance with established scope and quality expectations; Manage day-to-day project activities, timelines, deadlines, and deliverables for assigned commercial projects; Manage multiple projects simultaneously while maintaining organization, accuracy, and attention to detail; Communicate effectively with customers, vendors, project managers, internal departments, and coworkers in person, by phone, and through written communication; Coordinate project resources, schedules, documentation, external vendor relationships, communication, budgets, change orders, risks, and issue resolution as needed; Monitor project progress to ensure work is proceeding according to scope, schedule, budget, and quality standards; Participate in quality control activities and assist in identifying, communicating, and resolving project quality issues; Support planning, coordination, and completion of complex initiatives that may span one or multiple projects; Maintain accurate project records, updates, and documentation to support effective communication and accountability throughout the project lifecycle; Perform other duties as assigned and operationally necessary

Requirements

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and estimating software systems; Experience in sheet metal estimating for a mechanical contractor or related HVAC/manufacturing environment; Customer service and sales experience with the ability to build positive relationships with customers, vendors, and internal stakeholders; Experience using sheet metal estimating software, such as Quote Express or similar estimating platforms; Experience using ERP systems, such as QAD or similar business management systems; Proficient working in a Windows environment with Microsoft Office applications, with emphasis on Excel and Outlook; Comfortable using Adobe Acrobat and/or Bluebeam to review, mark up, and manage PDF files and project documents; Job Knowledge: Understands the job objectives, duties, and responsibilities; Quality of Work: Establishes work standards and delivers accurate, thorough, dependable results; Reliability/Dependability: Consistently meets responsibilities and commitments; Communication Skills: Written and oral communications are clear, organized, and effective; Initiative and Decision Making: Capable of creating and supporting new ideas or improvements; Collaboration and Teamwork: Fosters positive and productive workplace relationships; Technical Knowledge: Shows proficiency in application of methods and techniques necessary to accomplish work

Nice to have

Prior experience with takeoffs, sheet metal ductwork for purposes of fabrication, or project coordinator in a manufacturing or industrial setting preferred
