As our Vehicle Support Assistant , you’ll play a vital role in supporting the smooth day-to-day operation of our company fleet across cars and vans, From vehicle administration and licence compliance to reporting and supplier support, you'll play a key role in maintaining accurate records, ensuring regulatory compliance, and supporting the efficient operation of the company fleet.

Responsibilities

Managing day-to-day administration across the company car and van around the UK; Maintaining compliance records, including driver licence checks, MOTs, servicing schedules, and vehicle documentation; Processing penalties, recharge notices, insurance claims, and negligent damage cases; Keeping Licence & Fuel card databases, systems, and vehicle records accurate and up to date; Producing regular reports, management information, and performance data; Administering supplier records, monitoring service delivery, and supporting cost control activities; Providing first-line support and guidance on Vehicle related queries from employees and managers; Maintaining vehicle allocation records and supporting the administration of vehicle movements; Processing vehicle related invoices, purchase orders, and associated documentation; Supporting audits, policy compliance, and continuous improvement initiatives within the fleet function

Requirements

COLLABORATION: Building partnerships and working collaboratively with others to achieve shared objectives; TAKES ACCOUNTABILITY: Taking action, overcoming obstacles, and meeting commitments; CUSTOMER FOCUS: building strong customer relationships and delivering customer-centric solutions; Experience in vehicle administration; Strong organisational skills and a high level of attention to detail; Good understanding of compliance and legal requirements within a fleet environment; Confident using Microsoft Office, especially Excel; Strong communication skills and the ability to build effective working relationships; A proactive approach with the ability to manage multiple priorities and deadlines; Good numeracy and literacy skills
