Billing Operations Lead (100% Remote)

TaxValet is a fractional sales tax department that handles everything for clients, from nexus analysis to permit registrations, filings, audit support, and more. The Billing Operations Specialist is a newly created role at TaxValet. You'll have real ownership to design how billing should work in the most efficient and accurate manner. The Billing Operations Specialist owns the end-to-end billing function for TaxValet's clients, from subscription setup and invoicing to refunds and revenue processes within Zoho Billing. This role is responsible for building and continuously improving the systems that make that function run smoothly.

Responsibilities

Evaluate and redesign billing workflows and systems as this function scales; Manage client onboarding and billing account setup by creating client profiles in Zoho, establishing initial subscriptions, and setting up bank account details; Handle client billing operations including setting up and updating billing subscriptions, resolving billing inquiries, issuing invoices for special projects and services, creating credit notes, managing refunds, and coordinating billing adjustments; Manage client payment-related processes by maintaining payment records, coordinating payment method and bank account updates, monitoring billing transactions, following up on outstanding balances, and assisting clients with payment concerns; Conduct regular billing reviews and reconciliations to ensure alignment between billing records, permit data, and internal systems; Manage subscription and pricing updates resulting from permit changes, approved discounts, annual price increases, and other billing modifications; Collaborate with internal teams to resolve billing concerns, provide updates on account and subscription changes, support billing inquiries during audits and reviews, and assist with pulling billing reports and financial data; Maintain and update client referral source information, monitor partner commission eligibility, manage referral expiration dates, and issue applicable referral credits

Requirements
